Quick Start: How This Works (TL;DR Version)

Planning your entertainment with Encore Events is simple. Just follow these steps:

Step 1: Watch the Planning Walkthrough Video - Start by watching the video below. It will guide you through our planning portal, timeline tools, and music planning sections so you know exactly how to complete your forms and the information our DJs are looking for.

Step 2: Begin Filling Out Your Planning Forms - After watching the video, log into your planning portal and start working through your timeline and music selections at your own pace. Message us if you need those sent to you again: CustomerGuru@RochesterDJ.com

Step 3: Join a Live Planning Office Hours Session (Optional) - Have questions about your timeline, music, or event flow? Register for one of our live Zoom Office Hours where a member of the Encore office team will answer your questions and help guide you.

You’re welcome to attend Office Hours as many times as you’d like throughout your planning process.

By now you’ve probably started diving into wedding planning and making all kinds of decisions… design choices, food tastings, timelines… oh my. The good news is you don’t have to navigate everything on your own. The Event Guru Team at Encore Events is here to make the entertainment planning process clear, organized, and maybe even a little fun. Our goal is to give you the tools and guidance you need so that your DJ has everything required to create an incredible celebration.

ENCORE EVENTS PLANNING PORTAL WALKTHROUGH (WATCH THIS FIRST!)

 
 

The video will walk you through our entire planning portal and explains how to use each section. In this walkthrough, we cover:

  • How to build your reception timeline

  • How to complete the wedding planning forms

  • How to choose and organize your music selections

  • Tips that help your DJ read the room and keep the dance floor full

You can watch this video anytime and revisit it throughout the planning process whenever you need a refresher. Unlike our previous seminar format, this allows you to go through the walkthrough at your own pace and return to it whenever questions come up.

OFFICE HOURS DESCRIPTION

Once you’ve watched the walkthrough video and started working through your planning forms, if you still have questions or would like some personalized help, you can join one of our Planning Office Hours sessions. These are live Zoom sessions hosted by a member of the Encore office team where couples can ask questions about their specific event. Some couples join with timeline questions, others want guidance on music selections, and some simply want reassurance that everything they’ve planned makes sense. Whatever stage you’re in, Office Hours gives you direct access to the Event Guru Team for advice and clarification.

You’re welcome to attend as many sessions as you’d like during your planning process.

MEETING TIP

If you plan to attend the Office Hours, please join Zoom from a desktop computer, laptop, or tablet if possible. This allows us to easily reference the planning portal and walk through details together if needed. Please also try to join from a quiet location so we can clearly hear your questions and give you the best possible guidance.

QUICK NOTE:

Planning Office Hours help you get started and stay on track, but they do not replace your Planning Workshop with your DJ. Your personal Planning Workshop with your DJ will be scheduled approximately 4–6 weeks before your wedding, and that is when you and your DJ will finalize the timeline, music selections, and key details for your celebration. Your DJ will reach out to you around that timeframe to schedule your meeting.
